2. What information we receive

The enquiry form asks for your email address, delivery country, vehicle model, year and steering side, and the requested part or product link. Your name and additional message are optional. Information comes from what you provide and from subsequent correspondence with us.

You must choose Slovak or English for your quotation, pre-contract information, terms, withdrawal information and form, official EU legal guarantee notice and order communications. Choosing English includes your declaration that you understand and choose English. We record your language choice, the declaration and the scope/version of that choice with the enquiry, so that we can provide and document the appropriate language of information. This is not consent to personal-data processing or acceptance of an order.

A reference is generated for each submitted request. We receive its type and source and, when available, the campaign source, medium and name (utm_source, utm_medium and utm_campaign), the entry page and the referring website’s hostname. Campaign values are limited in length; the referring-site field does not contain the referring page’s path or query string.

If you order, we also receive the details needed for the contract, such as your full name, billing and delivery address, agreed specification, quotation acceptance, payment and delivery records, and complaint or return correspondence. Hosting and security services may process technical records, including IP addresses, request times and error information.

Please provide only information needed to discuss the part. Do not send identity documents, card details or sensitive personal information through the enquiry form. If further vehicle photographs or identification details are needed, we will explain what is required.

3. Required and optional information

Email, delivery country, vehicle details, requested part or link and the language choice are required in the form. They allow us to reply, assess the part and prepare the quotation and documents in your chosen language. Without them, the form cannot be submitted. If you contact us by email instead, we may need to ask for missing details before quoting. Submitting an enquiry is voluntary and does not commit you to an order.

You can leave your name and the additional message empty. Campaign and referral details are not a condition for receiving a quotation. If you order, certain contact, delivery and billing details are necessary to perform the contract or comply with law; we explain what is needed before you commit. The language choice is a record of your communication and document language, not a waiver of consumer rights or of mandatory language requirements.

4. Purposes and legal bases

Enquiries, quotations and orders — Article 6(1)(b) GDPR. We use the necessary contact, vehicle and part information to take steps at your request before a contract, assess the specification and compatibility, communicate a quotation and, if you order, perform the contract, organise payment and delivery and provide the agreed service. Your recorded language choice helps us provide the quotation and related documents. No separate consent is required for this necessary processing.

Legal obligations — Article 6(1)(c) GDPR. We use and retain records required by applicable accounting, tax and consumer-protection law, including records of the information and documents supplied in the chosen language, statutory complaints and other consumer rights, and responses to lawful requests from authorities.

Security and legal claims — Article 6(1)(f) GDPR. Our legitimate interests are preventing spam and misuse, maintaining reliable website and email services, and establishing, exercising or defending legal claims. We limit the information used to what is necessary and consider the effects on your rights.

Limited campaign measurement — Article 6(1)(f) GDPR. Our legitimate interest is understanding which pages and campaigns bring relevant enquiries so that we can assess marketing expenditure. We use the limited campaign and referral fields accompanying a submitted request and its reference to relate an enquiry to any resulting order. These fields do not determine whether you receive a quotation and are not used to set your price automatically. You can object as explained in section 9.

We do not sell enquiry data or subscribe you to a newsletter through this form. This process does not involve decisions based solely on automated processing that produce legal or similarly significant effects, or profiling for such decisions.

5. Who may receive the information

Information is available to the people handling your enquiry or order for VALENZA and to providers to the extent needed for their work. Recipient categories include FormSubmit for website-enquiry delivery, email and hosting providers, and services supporting website security and reliability.

For orders, the necessary information may also be provided to accountants, professional advisers and carriers where required for accounting, a legal matter or delivery. We disclose information to competent authorities when required by law. Disclosures are limited to the relevant task.

To review a sourced part, we may share the necessary vehicle specification or part photographs with a supplier. Your name, email and full correspondence are not needed for an ordinary compatibility check. If a proposed order requires other personal information to be sent to a supplier, we explain this before disclosure, including any relevant international-transfer information.

6. Form delivery and processing locations

Submitting the website form sends its contents and the request context described above from your browser to FormSubmit, which provides delivery to our email address. Its published privacy document is linked below.

We have not confirmed FormSubmit’s processing countries or safeguards for any transfers outside the European Economic Area. We therefore cannot confirm that submissions remain in the EEA or identify the transfer safeguards applicable to that service. This provider review remains unresolved; this notice does not confirm that all contractual or international-transfer requirements have been met.

You can instead send an enquiry directly to valenza@valenza.sk without using FormSubmit. Email will still be processed by the relevant email and hosting providers. Contact us for the information available about recipients and processing locations.

7. How long we keep information

Our retention policy for an enquiry that does not become an order is to delete the identifiable enquiry, its language-choice record and campaign details within 12 months after closure, unless specific information must be retained for a legal obligation or unresolved claim. An enquiry is closed when no further action is needed, you tell us you do not wish to proceed, or the quotation expires without acceptance and no discussion remains active. An earlier erasure request is assessed under the GDPR.

Order correspondence and the language-choice record are retained for the period needed to fulfil the order, handle statutory liability and consumer rights, and establish, exercise or defend legal claims. Records relevant to an unresolved dispute or legal duty are retained as necessary until the matter is resolved. We then delete information no longer needed and retain only records still required by accounting, tax or other law for the prescribed periods.

Security records are retained only as long as needed to detect or investigate misuse and maintain the service; records relevant to an incident or claim may be kept until resolution. These are VALENZA’s retention criteria, not a claim that all providers follow the same deletion schedule. We have not confirmed FormSubmit’s retention periods for activated submissions, logs or backups.

8. Website context and browser storage

The enquiry journey implemented on this website does not use tracking cookies, local storage or a persistent visitor identifier to carry campaign information between pages. Selected-part and limited campaign information travel in internal page links and are included when you submit an enquiry. This does not mean that hosting, email or form-delivery services process no technical data.

The enquiry does not create a customer account or collect card details. Any separate payment step is explained with the quotation before you commit to an order.

9. Your right to object

You may object at any time, on grounds relating to your particular situation, to processing based on our legitimate interests, including limited campaign measurement. Email valenza@valenza.sk or write to our registered office and tell us which processing you object to. Objecting to campaign measurement does not prevent you from requesting a quotation.

We will stop the processing concerned unless we demonstrate compelling legitimate grounds overriding your interests, rights and freedoms, or the processing is needed to establish, exercise or defend legal claims. We will explain the outcome.

10. Other rights and complaints

Under the conditions set by the GDPR, you may request access to your data and a copy, correction of inaccurate or incomplete information, erasure, or restriction of processing. You may request portability of information you provided where processing is automated and based on a contract or consent, including direct transmission to another controller where technically feasible. These rights are subject to statutory conditions and do not require deletion of records that must be retained by law or for a valid legal claim.

If any processing relies on a separate consent, including consent associated with an earlier enquiry where applicable, you may withdraw that consent at any time. Withdrawal does not affect the lawfulness of processing carried out before withdrawal. It does not remove independent existing grounds for processing or retention necessary to perform a contract, meet a legal obligation or handle a valid legal claim. The current enquiry form does not rely on consent for the necessary pre-contract processing described in section 4.

Send requests to valenza@valenza.sk or our registered office. We respond without undue delay and within one month of receipt. Where necessary because of the complexity or number of requests, the period may be extended by up to two further months; we inform you within the first month and explain why. If there are reasonable doubts about your identity, we may ask only for the additional information needed to confirm it. Requests are normally free of charge.

You may complain to the Office for Personal Data Protection of the Slovak Republic (Úrad na ochranu osobných údajov Slovenskej republiky), or to the competent supervisory authority, in particular in the EU Member State of your habitual residence, place of work or the alleged infringement. You do not have to contact VALENZA first. Your right to seek a judicial remedy remains unaffected.
